Is there a contract?
Monthly care runs month to month, and either side can end it with 30 days written notice. There is no early termination fee. A 12 month agreement is optional. It lowers the price to $115 per person a month, and if you end it early the only amount due is the $10 per person difference for the months already billed. Projects are one-time work with a fixed price in writing, and they end when you accept the work.
What does the $1,000 monthly minimum buy?
The whole care plan, for up to 8 people. At $125 per person, 8 people come to exactly $1,000, so a 3 person office and an 8 person office pay the same $1,000 a month. From 9 people the bill is $125 per person. People can be added or removed at any time by email, and the bill adjusts the following month.
What does onboarding cost?
One month of the plan you chose, at your number of covered people, with a $1,000 minimum. It is a one-time fee, invoiced when the care plan schedule is signed, and the $350 office checkup is credited toward it once when the checkup was done within the prior 30 days. Onboarding usually takes 2 to 4 weeks, and the monthly plan starts the month after it is complete.
Who pays for licenses and hardware?
You do, at cost. Microsoft 365, Windows, industry software, and equipment are bought in your name or passed through at the supplier's invoice price with no markup, and you own them. Two things are included in the care plan price. The password manager subscription and the security software listed in the plan, which is Microsoft Defender Antivirus built into Windows.
What happens at renewal?
Month to month care simply continues until one side gives 30 days notice. The price can change once per calendar year with 60 days written notice. A 12 month agreement keeps its price for the full 12 months, then continues month to month at the month to month price in effect until either side gives 30 days notice.
We are switching from another IT provider. What does that cost?
If you start a care plan, the standard handover is part of onboarding. That means the inventory, access moved to accounts you own with your written authorization, and the handover document, when the previous provider cooperates. Recovering accounts through a registrar or vendor when the previous holder will not cooperate, data moves, and substantial cleanup are quoted separately before any work. A handover without monthly care is quoted after a short review. See switching IT providers.
Can we be charged twice for the same work?
No. Work that appears in both onboarding and a project signed at the same time is performed once and charged once. When Microsoft 365 setup is signed with onboarding, the project schedule states the combined scope and either the adjusted price or the separate deliverables. The $350 checkup is credited once, to the first fixed-price project or onboarding signed within 30 days.
When does care actually start?
Coverage begins once every covered computer runs a supported operating system with security software, two-step login is on for every email and admin account, and a tested backup exists. If equipment has to be replaced first, we list it and quote it in writing. Reply times and support hours are on the service levels page.
