Construction and trades offices

Email that works from the truck, and a yard you can see from home.

A trades company runs from a small office, a yard, and a dozen phones in the field. We set up Microsoft 365 so estimates and invoices work from anywhere, keep the office computers healthy, and put cameras on the yard and a badge door on the shop.

What established trades companies deal with

An HVAC, plumbing, or electrical company with a dozen trucks runs on a dispatch app, a shared office inbox, and phones in the field. Estimates live on one laptop. The office manager pays suppliers by ACH. Techs come and go, and some keep the app on their own phone after they leave.

The money risk is usually email. A supplier's account gets taken over, or a lookalike address sends new bank details right before a large invoice is due. A simple call-back rule and two-step login close most of that door. Commercial customers and larger builders also sometimes send a security questionnaire before awarding work, and the answers need to be true.

Not every field employee needs the same setup. A technician who only uses the dispatch app and email on a phone can be covered differently from an office employee with a laptop, so we size the plan to the people, not the head count.

What we put in place

In plain words, and written down so you can show it.

  1. Microsoft 365 for the office and the field

Email, estimates, and files on phones and laptops, backed up and protected with two-step login.

  2. A call-back rule for supplier payment changes

New bank details are confirmed by calling a number already on file, never one from the email.

  3. Business data protected on personal phones

App protection keeps company email in the business apps, and it can be removed from supported apps when a tech leaves.

  4. Fast shutoff when crew members leave

Email, the dispatch app login we manage, and the shop door, closed with a dated record.

  5. Cameras on the yard, the gate, and the shop

Night vision, live view from your phone, footage kept on site, plus a badge door on the shop.

Who we fit, and who we don't

Honest on purpose, so nobody wastes a call.

We fit

  • HVAC, plumbing, electrical, builders, landscaping, and roofing companies, from a small office to a growing field crew
  • Companies on Microsoft 365 or ready to move
  • Owners who want to see the yard at night

We don't fit

  • Companies that need a staffed help desk all day
  • Jobsite temporary networks and trailer setups
  • Support inside your dispatch or estimating software, which its vendor provides

Questions owners ask

Can the crew use their own phones?

Yes. Email and files go on their phones through the Microsoft apps with app protection, so business data stays in the business apps and can be removed from supported apps when someone leaves, without touching their personal photos or apps. That needs Microsoft 365 Business Premium or a separate Intune license.

Do our field techs need the full monthly plan?

Not always. A tech who only uses email and the dispatch app on a phone can be covered differently from an office employee with a laptop. We size it on the call.

What is the supplier payment change scam?

A fake or hijacked email from a supplier or another company you work with asking you to update bank details before the next payment. We set a rule to confirm every change by phone on a number you already have, and train the office on it.

Do you put cameras on a fenced yard?

Yes. Outdoor rated cameras with night vision on the yard, the gate, and the shop door. 4 from $3,200 installed.

What does it cost?

Microsoft 365 setup from $1,200 for up to 10 people, cameras from $3,200 installed, the first badge door from $1,800, and the care plan at $125 per person a month with a $1,000 minimum. Email fraud protection and personal phone setup are quoted after a short review. See the pricing page.
