Backups and email
Email that's hard to break into, and backups that actually restore.
Business email on Microsoft 365, set up so it's hard to break into, plus backups we actually test. If a laptop dies or a file disappears, you get it back.
What's going on, and what we do about it
Most break-ins at small businesses start with one email account. Someone's password was reused, two-step login was never turned on, and a fake invoice went out to every customer from a real address. The second most common disaster is quieter. A laptop dies, the files were only on that laptop, and the backup everyone assumed existed was never set up.
We set up or clean up Microsoft 365 for email, files, and calendars, turn on two-step login for every account, tighten the spam and fake-email filtering, and put backups of email and files somewhere off-site. Then we run a test restore, because a backup that has never been restored is a guess.
What's included and what isn't
Written down so there are no surprises on the quote.
What's included
- Microsoft 365 setup or cleanup for email, files, and calendars
- Two-step login (MFA) turned on for every account
- Spam and fake-email filtering tightened up
- Backups of email and files, kept off-site
- A test restore, so we know the backup really works

Questions owners ask
We already use Microsoft 365. Do we still need this?
Usually yes. Many small business accounts were set up by whoever signed up first, with no two-step login, old staff still active, and no backup of the mailbox. Microsoft keeps the service running. It does not back up your data for you in the way owners assume.
Is two-step login really necessary?
Yes. It is the single setting that stops most account break-ins, and it is one of the first questions on a cyber insurance application. We turn it on for every account and show your staff how it works.
Does Microsoft back up our email?
Not in the way you need. Deleted items eventually disappear, and a ransomware event or a malicious insider can wipe files. We keep a separate copy off-site and test that it restores.
Can you move us from GoDaddy, Gmail, or an old provider?
Yes. Email migration is its own fixed-price project, from $900 for up to 10 mailboxes. Email, contacts, and calendars are moved and every mailbox is checked before the old service is closed, and the switch happens outside business hours.
What happens when someone leaves?
Sign-in is blocked the same day during support hours, their mailbox is kept or forwarded, and their files move to whoever takes over. On the care plan this is included. More on new hires and departures.
Our Office came in a box years ago. Is that a problem?
It can be. Office 2016 and 2019 are already past support, and Office 2021 reaches its end of support on October 13, 2026. Older versions keep running, but security fixes stop. Microsoft 365 apps stay current. Our support dates guide has the details.
Can staff get email on their own phones safely?
Yes, with app protection in Microsoft 365 Business Premium. See business data on personal phones.
Do you support Google Workspace?
This package, its price, and its included protections are for Microsoft 365, and our monthly care is built around it. If you are on Google Workspace, tell us what you need and we'll assess it before quoting, or say plainly if it is not a fit. Moving from Google into Microsoft 365 is a standard email migration.
